Help with the 140conf from anywhere

In order to help coordinate all the things that need to be done for the 140 Conference Smalltown that we are holding November 1, 2010, in Hutchinson, Kansas, I'm posting the list of tasks here. These are all things that could be done from anywhere, so you don't have to be from Kansas to pitch in and help. (The volunteer opps for locals are here and others that will be needed on the day of the event.)

Everyone's help is needed to promote attendance. 

We've reached 140 161 registered, and we're shooting for 200. Jeff is being very generous with allowing us free passes to spread around, so let's get more people there! (Here's the free pass link: http://140.vg/spfriend-smalltown Please don't blog it, but you can send it by email, DM, etc.) (Yes, I know I'm bending the "don't blog it" rule, but I want to be sure you have it to share.) 

Here are the "desperately needed" items: 
  • Clean up the speaker list/registration: Sync the Amiando registration database with speaker list. Add any speakers who have not yet registered at Amiando. (I will send you access info to get in.) - A couple of people have taken on this task. Thank you! 
  • Help out those flying in: check registration list for potential fliers. Email them about their plans. Get count, times, etc., for transfers to Hutch. Coordinate with local volunteers to provide transport where possible. Greg Falken is trying to coordinate with those who are flying in. Get him your flight details Please enter your flight details at http://goo.gl/M3db.
  • Get an explanation on the event website that cameras, recordings, and tweeting are all encouraged.
  • Promotion, promotion, promotion. What groups, organizations, people can you think of who need to know about it? How can we get word to them?   
  • send one page event details to Fox Theatre so they can answer questions of last-minute callers. Email it to Mary Hemmings
  • Put together an email to all registrants with details: location, who to contact about transport, time for registration, informal nature of the event. Cameras, recordings, tweeting all encouraged. Hashtag is #140conf. Thank you for participating! Link to local Hutch info. Who to ask questions of. Link to website graphics, Twitter avatar graphics if we get some.  (I will send you access info to get in and send it to all registrants.) 
These are "would be nice to have" items: 



  • Create online graphics: website badges, Twitter avatar twibbons/stripes. Post to the event website. Jon Woodward is taking this one on. Thanks!
  • Compile online pre- and post- event coverage links.  Put in new delicious account called 140conf and tagged with "smalltown Hutchinson Kansas." (You'll create a new account, and then send me that access info.) Thank you, Apryl Chapman Thomas for helping with this. Thanks also to James Dalman who is working on an aggregator to pull together live streams of content at a central site. Cool! 
  • Day of event: monitor the live stream. Will need to coordinate with the video/audio managers to let them know of any problems. 
  • Make transcriptions or notes from sessions to be posted along with videos for accessibility. This could be done day of event, or afterwards. Thank you, Apryl Chapman Thomas for helping with this.

    Since I will be flying in, I can take on coordinating the other fliers. The only caveat is be that I may be unavailable while I am traveling myself, starting on the morning of the 31st.

    While I am unable to attend, I can and will help from afar. I can take on both of these:
